Manage Users

The Users panel lets administrators review, approve, reject, and manage everyone who has requested access to the school. Access it from Settings → Users.

User statuses

Status Description
Pending The user has requested access and is waiting for approval
Active The user has been approved and can sign in
Rejected The user's request was denied

Approve a pending request

  1. Open Settings → Users.
  2. Find the user in the pending list.
  3. Select the role to assign (Viewer, Staff, or Admin).
  4. Click Approve.

The user's status changes to Active immediately. If the user is on the pending screen in their browser, the app opens automatically without them needing to refresh.

If this is the first active admin for the school, the app automatically assigns that person as the Primary Admin and billing contact.

Reject a pending request

  1. Find the user in the pending list.
  2. Click Reject.

The user's status changes to Rejected. They see a rejected message if they attempt to sign in.

Change a user's role

  1. Find the active user in the users list.
  2. Select the new role from the role dropdown next to their name.
  3. Click Save or the equivalent confirmation.

The role change takes effect the next time the user's session refreshes. If the user is currently signed in, they see the updated role on their next page load.

Primary Admin and billing contact

Each school has one Primary Admin. This person is still a normal Admin, and also:

  • Is the billing contact shown in the admin dashboard
  • Can edit billing information in Settings → General

To transfer this responsibility:

  1. Open Settings → Users.
  2. In Active Users, find another active user with the Admin role.
  3. Click Make Primary.

Important safeguards:

  • You cannot demote, reject, or remove the current primary admin until you transfer primary status.
  • The primary admin must always have the Admin role.

Understanding the user list

Each user entry shows:

  • Name and email — from their Google account
  • Role — current assigned role
  • Status — Active, Pending, or Rejected
  • School ID — the school they belong to (relevant if you manage multiple schools)
  • Joined date — when their access was approved

Multi-school users

A user can belong to multiple schools. Their access at each school is managed independently by the admin of that school. Approving or changing a user's role at your school does not affect their role at any other school they belong to.
